Job Summary: The Administrative Assistant I provides administrative support for the operations of unit. Performs routine and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls, emails, and/or guests. Maintains files and enters data. Operates standard office equipment such as personal computers, copiers, fax machines, etc.
Additional Department Summary: This position assists in the operations of the Capstone Center for Student Success. Oversees program and Center support, general office, administrative and secretary duties with variety and complexity. Acts as liaison with internal and external departments, manage budget records, reconcile departmental purchasing card, supervise student employees and approves student time, compiling and maintain data and preparing reports, completes personnel action forms, purchasing office and center supplies and computer peripherals. Manges general office functions to include managing staff calendars and appointment scheduling. Coordinates and arranges meetings. Communicates regularly via phone and email to answer student, parent and UA community questions about the Center.
Required Minimum Qualifications: High school diploma or GED or higher.
Skills and Knowledge: Administrative/office support experience. Outstanding organizational and communication skills. Ability to multi-task and function with a high level of independence. Professional written communication and phone etiquette.
Preferred Qualifications: Experience with Concur, Banner, ARGOS, Astra, SLATE, DegreeWorks, PageUp and University of Alabama polices and procedures related to budget, purchasing, hiring, licensing, reporting, and supervision.
At least two years of experience in an administrative position and associates degree. Supervisory experience of professional or student staff.
