Normal Work Schedule: Monday - Friday 8:00am to 4:45pm; some evenings & weekends required


Job Summary: The Event Coordinator oversees the implementation, execution, and follow-up for events hosted on- and off-campus. Creates invitations. Selects sites. Creates seating arrangements. Negotiates with florist, caterers, event space staff, print shops, etc. Manages on-site contract staff, students, and etc.


Additional Department Summary: Manages the University of Alabama OTIDE Relations events. Directs the planning, implementation, execution, follow-up, and budget of all OTIDE External Relations events. Coordinates marketing and communication for each event. Oversees program agenda participants. Conceptualizes event theme. Creates invitation lists. Selects site. Manages inventory. Negotiates with vendors for maximum cost containment. Develops and manages event budget. Oversees catering for events. Arranges transportation.


Required Minimum Qualifications: Bachelor's degree and some event planning or coordination experience; OR associate's degree and two (2) years of event planning or coordination experience; OR high school diploma or GED and four (4) years of event planning or coordination experience.


Additional Required Department Minimum Qualifications: Must have valid U.S. driver's license. Must be at least 19 years of age at time of hire and have an acceptable Motor Vehicle Report that is in compliance with University policies. Applicants under the age of 21 will have some driving restrictions.


Skills and Knowledge: Excellent written and oral communication, interpersonal, and organizational skills. Substantial planning and organizational skills. Proficient in collaborating with various groups, both internal and external, and excel in team settings.


Preferred Qualifications: Experience overseeing event-related programming. Experience working with donors and community partners. Experience with marketing and budgeting. Experience in Concur, CRM, and University Contracts. Experience working with a P-card and reconciling P-card information.
