Job Summary: The Administrative Assistant II provides administrative support for the operations of unit. Performs moderately complex and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls, emails, and/or guests. Maintains files and enters data. Drafts and sends communications on supervisor/departmental staff behalf. Reconciles P-Card/Concur for other staff/faculty against departmental budget. Performs some simple budget monitoring/entry. Operates standard office equipment such as personal computers, copiers, fax machines, etc.
Additional Department Summary: Serves as the primary administrative contact for the Career Center. Provides high-level support for the Executive Director and the rest of the Career Center team. Supports the front desk Office Associate and helps to ensure office coverage at all times. Performs functional supervisory responsibilities for all other clerical positions in all Career Center locations. Drafts responses to correspondence on behalf of the Executive Director. Schedules appointments and arranges meetings. Makes travel arrangements. Maintains confidential files. Manages office workflow. Assists the Executive Director in developing overall administrative operations plans such as staffing, budget requirements, physical space needs, equipment, supplies, etc. Works closely with Student Life Business Services to handle budgets, purchases, etc. Initiates and maintains all personnel files and actions, as well as other files and records needed for quality management. Ensures all leave time is properly recorded. Initiates all staff recruitments and acts as support for any search process. Completes required training and promoting a safe, hospitable, and respectful workplace. Holds staff accountable for completion of required training. Has personal accountability for financial reporting and responsibility for establishing, enforcing, and following internal processes and controls as outlined in UA policies and procedures.
Required Minimum Qualifications: High school diploma or GED and two (2) years of administrative experience; OR associate’s degree or higher.
Skills and Knowledge: Demonstrates commitment to supporting all students.
Preferred Qualifications: Working knowledge of the programming and activities of the Career Center. Experience serving in an administrative assistant role.
