Normal Work Schedule: Monday - Friday 8:00am to 5:00pm; some evenings & weekends required
Job Summary: The Administrative Assistant II provides administrative support for the operations of unit. Performs moderately complex and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls, emails, and/or guests. Maintains files and enters data. Drafts and sends communications on supervisor/departmental staff behalf. Reconciles P-Card/Concur for other staff/faculty against departmental budget. Performs some simple budget monitoring/entry. Operates standard office equipment such as personal computers, copiers, fax machines, etc.
Additional Department Summary: Assists supervisor with ensuring contract compliance and daily operations of services provided by contract vendors including cable television, laundry, wash and fold, vending, and the Capstone Learning Academy. This includes submitting work orders, inspecting vending and laundry locations, helping with special projects, managing the front desk area, greeting guests, answering phones, and checking the Enterprise Services email daily. Supports all Enterprise Services departments, including Action Card, Bryant Conference Center, Dining Services, Printing Services, Transportation Services, and the University Supply Store. Serves as front-line contact for Enterprise Services. Assists with various administrative duties for Enterprise Services under the supervisor's direction. Represents Enterprise Services at special events through out the year such as Coke sampling events, Bama Bound orientation, move-in, and other events as needed.
Required Minimum Qualifications: High school diploma or GED and two (2) years of administrative experience; OR associate’s degree or higher.
Additional Required Department Minimum Qualifications: Must be able to work occasional evenings and weekends. Must be able to take occasional after-hours calls as needed.
Must have valid U.S. driver's license. Must be at least 19 years of age at time of hire and have an acceptable Motor Vehicle Report that is in compliance with University policies. Applicants under the age of 21 will have some driving restrictions.
Skills and Knowledge: Strong organizational, communication, customer service, and problem solving skills. Attention to detail. Good time management skills. Adaptability.
Preferred Qualifications: Bachelor's degree.
