Job Summary: The Event Coordinator oversees the implementation, execution, and follow-up for events hosted on- and off-campus. Creates invitations. Selects sites. Creates seating arrangements. Negotiates with florist, caterers, event space staff, print shops, etc. Manages on-site contract staff, students, and etc.
Additional Department Summary: The Events Coordinator has full responsibility for planning, implementing, executing, follow-up, and budgeting of events occurring both on and off campus for the benefit of the Manderson Graduate School of Business. This position is demanding and vital to the overall image of Manderson to VIP guests, donors/stakeholders, corporate partners, alumni, potential and enrolled students, parents, and guest speakers. This position requires professionalism, organization, creativity, attention to detail, ability to work well with others, and excellent written and oral communication skills. Duties may include: conceptualization of event themes, creation of invitation lists, site selection, seating arrangements, inventory management, negotiating with vendors for cost containment, and management of on-site contract staff, clerical support and student assistants. The coordinator will develop and manage event budgets as directed by Manderson administration. This person must be able to handle high stress situations and still uphold the high standards of professionalism required by the Manderson Graduate School of Business. Work may require weekends, nights, and early mornings.
Required Minimum Qualifications: Bachelor's degree and some event planning or coordination experience; OR associate's degree and two (2) years of event planning or coordination experience; OR high school diploma or GED and four (4) years of event planning or coordination experience.
Additional Required Department Minimum Qualifications: Must have valid U.S. driver's license. Must be at least 19 years of age at time of hire and have an acceptable Motor Vehicle Report that is in compliance with University policies. Applicants under the age of 21 will have some driving restrictions.
Skills and Knowledge: Must be proficient in the usage of personal computers and standard application software (email, word processing, spreadsheet programs). Ability to create invitations, programs, place cards, etc. Good organizational, communication, and public relation skills are essential. Confidence with managing multiple event projects and timelines at once.
